Request files from a client

Create a project or track file request, add clear instructions, and send the client to the portal.

Before you start

Make sure the client has an active project in Clients. Add a contact with an email address if you want Mixhaus to send the portal link for you. That contact also needs access to the project before the request will appear in their portal.

Project owners and editors can create client file requests on Free, Pro, and Studio. Uploaded files count towards the signed-in account's storage allowance.

Set the target and instructions before you create the request.

1. Open the project's upload requests

  1. Open Clients and select the client.
  2. Select the project that needs files.
  3. Select Upload requests for that project.
  4. Select Request files.

If the client has no project yet, select New project or Associate project first. Mixhaus creates each request inside one project.

2. Choose where the files belong

Use Upload target to choose one of these options:

  • The first option shows the project title followed by project files, such as Night Windows · project files. Use it for source multitracks, stems, or reference audio that belongs to the project as a whole.
  • A track option, shown as the track title followed by track, asks for a new version of that existing track.

The target controls where Mixhaus places the upload after the client sends it. A project target creates a new project file. A track target adds a new version to the selected track.

3. Describe what to send

  1. In Request title, replace the default Send files with a short label the client can recognise. For example, use Dry vocal stems or Reference mixes.
  2. In Notes for the client, explain what to upload and how to prepare it. Include the file format, naming convention, sample rate or bit depth when they matter, and any folders or takes to include.
  3. Keep the title under 160 characters and the notes under 2,000 characters. The client portal accepts audio files only.

Clear instructions reduce a second upload. Say whether you need a full set of stems, one track, or a reference file, and name the version or take you expect.

The Notify contacts list includes contacts with an email address who have not opted out. All eligible contacts are selected by default. Clear a contact's checkbox when they should not receive this request.

Before you notify someone, open the project's contact access controls and select Grant access for that contact if needed. A contact can receive an email but still be unable to see this project if project access is missing or has been revoked.

If the list is empty, create the request without a notification. Open the client's Portal view afterwards and select Create portal link or Copy portal link. Send the copied link through your usual channel. The link opens the client portal, where the client verifies their email and then opens the project.

5. Create the request

Select Create request.

Mixhaus creates the request before it starts the selected email notifications. The request stays available even if an email cannot be delivered. You will see Upload request created, and the request appears in the project's Upload requests view with Waiting on client until a submission arrives.

The request list keeps waiting work and received deliveries in one project view.

Expected result

The request shows its title, instructions, target, and Waiting on client status. The client sees Files requested or Upload files in the portal. A selected contact receives an email with the client portal link and the request context when delivery succeeds.

The portal link is for the client, not for one request. After the client verifies the email address that has project access, they can open the project and select File requests. They choose this request, add audio files, optionally write a note, and select Send to studio.

Send the client Upload requested files as a client if they need the portal steps and recovery messages.

What happens next

When the client finishes sending, Mixhaus shows the request as received in the project and adds a Client upload received item to Needs attention. Open Review files to review the upload. See Find and use files received from a client.

The client can send one initial submission for a request. If a file needs to change, review it and select Request replacement with a note. Mixhaus then shows the client which file needs a replacement and lets them send one replacement file.

Common problems

  • The request cannot be created. Check that you are a project owner or editor. Viewers can review project data but cannot create client upload requests.
  • The track is missing from Upload target. Only tracks already linked to the selected project appear. Add the track to the project first, then create the request again.
  • The client received the email but cannot see the project. Confirm that they verified the same email address as the contact and that Contacts shows Grant access or active project access for that contact. A revoked project contact cannot load upload requests.
  • No email arrived. Confirm the contact's email address and opt-out status. Mixhaus creates the request even when a notification is skipped or fails. Use Copy portal link in the client's Portal view and send it yourself.
  • The client sees that the request is no longer accepting files. The request may have been removed or closed. Create a new request for new files. For a correction to a received file, select Request replacement from the received file instead.
  • The client sees a storage quota error. The portal shows This upload would exceed the storage quota. Reduce the batch size or free storage in the account before trying again. The client cannot finish a submission until the full batch fits the allowance.
