Manage reviewers and the final approver

Give client contacts project access, choose who can make the formal decision, and remove access when needed.

Use the project Contacts view to decide who can open the client review and who can make its formal decision.

Before you start

Have these ready:

  • a project linked to a client
  • permission to edit the project and the Client workspace
  • a Pro or Studio plan if you need to create or use a project review room

Client contacts are available in the Clients workspace on every plan. The project review room and Send for review are available on Pro and Studio.

1. Open the project Contacts view

  1. Open Projects and select the project.
  2. Select Review & Delivery.
  3. Select Client workspace. Mixhaus opens the selected client and project in the Clients workspace.
  4. In Project tools, select Contacts.

If the review view says No client connected yet, connect the project to a client from Clients before managing project contacts.

The Contacts view shows active contacts, their email status, and the controls for this project. A contact can be listed for the client without having access to this project.

2. Add or edit a reviewer

  1. Select Add contact.
  2. Enter Contact name. Add an Email when this person should receive review notifications or open the review by email.
  3. Add an optional Role or title.
  4. Select Add contact.

To change an existing contact, open its Contact actions menu, select Edit [name], update the fields, and select Save contact. When you change an existing email, Mixhaus shows Email change saved and marks the new address as pending verification. The old address remains the active address until verification finishes.

A contact without an email can remain in the client directory, but cannot receive a review email. If that contact is the designated approver, Mixhaus will block Send for review until the contact has an active email address.

3. Grant or remove project access

In the project's Contacts view, find the contact and use the project controls:

  • Select Grant access to let the contact open this project's client portal and review room.
  • Select Remove access to revoke the contact's access to this project.

When you remove access, the contact cannot open the project review or receive newly issued playback or download access for it. Active client sessions for that contact are revoked. Existing comments, replies, decisions, and activity stay in the project history.

Granting access to the first active contact on a project also makes that contact the approver. Granting access to another contact adds them as a reviewer without changing the current approver.

4. Choose or clear the final approver

  1. Make sure the contact has project access. A contact without access has Grant access, not the approver control.
  2. Select Make approver next to the contact who should make the formal decision.
  3. To clear that responsibility, select Remove approver next to the current approver.

Only one contact can be the designated approver for a project. Every active project contact can still listen and leave feedback. The designated approver sees Approve version and Request changes in the client review. If there is no designated approver, any active project contact can make the formal decision.

Changing the approver changes who can make future decisions. Decisions already recorded remain attached to the version and keep their original author and time.

Approver controls live in Clients under the project Contacts tab. Access settings in Review & Delivery is for the review link, password, expiry, downloads, stems, and client activity. It does not select the approver.

5. Archive or restore a contact

  1. Open Contact actions for the contact.
  2. Select Archive [name], then confirm with Archive contact.
  3. To bring the contact back, find Archived contacts and select Restore.

Archiving hides the contact from the active client workspace and keeps existing project files and review history intact. Archived contacts cannot pass the review access check while archived.

Archiving is different from removing project access. If you are ending access to one project, select Remove access before archiving. When you restore a contact, any project access that was still active can become available again; the Restore dialog itself does not grant new project access.

Expected result

The project has the right active reviewers, one clear approver or an intentional no-approver fallback, and access that matches the project. Removing access stops future review access without deleting the record of what the client already commented on or decided.

What happens next

  • When the mix is ready, send the exact version from Review & Delivery with Send for review.
  • The selected contacts receive the review request unless they have opted out. An opted-out contact is disabled in the send form.
  • The client can comment on the shared version. Only the approver, or any active contact when no approver is set, can choose Approve version or Request changes.
  • If the client requests changes, upload the next bounce as a new version of the same track and send it through the existing review.

Common problems

  • I cannot see project access controls. Open the project-scoped view through Review & Delivery > Client workspace, then select Contacts under Project tools. You also need permission to edit the project. A project Viewer cannot change contacts or access.
  • The contact cannot receive the review. Email not set means there is no current recipient address. Pending: [email] means the new address is waiting for verification, so the current saved address remains the one used until then. An opted-out contact cannot be selected as a recipient.
  • The wrong person can approve. Select Make approver for the intended contact. If no one should have exclusive authority, select Remove approver so any active project contact can make the formal decision.
  • A contact still appears in the client directory after access is removed. Remove access affects the selected project, not the client contact record. Archive the contact only when you also want it hidden from the active client workspace.
  • A restored contact can open a project again. Restore makes the contact visible again. Check that project's Contacts view and select Remove access if the contact should not return to that project.
  • The client says the review link is unavailable. Check whether the contact was archived, whether project access was removed, and whether the review link is expired or disabled. Restore the contact or grant access as appropriate. When you are ready to send another version, send it from Review & Delivery to restore expired or disabled project review access.
